Zoom Cloud Recordings: Content More Than 120 Days Old to be Deleted

Any Zoom recordings that were made more than 120 days ago (prior to December 1, 2020) and stored in the Zoom cloud will be deleted as of March 31, 2021.  This update will be actioned in accordance with the guidance provided in the training and support documentation for Zoom recordings. Any content not retrieved from the Zoom cloud by March 31 will no longer be available to users. 

Why? 

This action is being taken to ensure there is adequate storage space available in the Zoom cloud for future semesters, as well as to protect the privacy of students who are no longer taking the courses in which they were recorded.

What do I need to do? 

Keep a copy of your videos 
NOTE: These steps only apply for videos that have been saved to the Zoom cloud. If your recordings were saved to your computer, no further action is required. 

If you would like to retain a copy of your recordings, for personal reference or to reuse material that does not include student participation, you can do so by following these steps: 

  1. Go to https://algonquincollege.zoom.us and log in (if this is your first time using the online portal, find out how to create your Zoom account
  2. In the main menu (usually found on the left of the screen) click on Recordings. 
  3. If necessary, use the ‘To’ date filter to only show videos recording prior to December 1, 2020 and click the blue Search button to apply this filter. 
  4. To download all files associated with a recording, click on More next to the recording and select Download. 
  5. To download individual files associated with a recording (e.g. if you want to keep the video but not the transcript or chat files), click on the title of the recording and then click on the Download icon for each file you would like to save. 

Continue to allow others to access your videos 
If you have used Zoom to create lecture or presentations videos for students or colleagues to view, and students from a previous class are not part of this recording, you can use My Mediasite to host these videos and continue to share them.  

A full guide can be found on the LTS website for how to use My Mediasite. Once you are familiar with the site, here is how to upload your videos: 

  1. Go to https://mediasite.algonquincollege.com/mediasite/mymediasite
  2. Sign in with your username (without @algonquincollege.com) and password. 
  3. Click on Add Media. 
  4. Click on ‘I want to upload a file from my computer’, locate the file and upload. 
  5. The file will be processed within one business day, on average (and usually much faster), at which point you will see a preview of the video on the home page. Click on the video and then click Edit Details. 
  6. Use the slider in the menu to control who has permission to access the video (‘My Organization’ is recommended). 
  7. Use the green Share Presentation button to get a link that you can share with your viewers.
